  An editable InDesign sign you can post at in-person events indicating that seats are reserved.
• Notice of recording
  Use this sign whenever you are video-recording or photographing on-campus events to notify audience members that the event is being recorded and/or photographed.

One of the first and most critical steps in promoting your public program, event, or event series is publishing it to Splash, the university’s powerful platform for event promotion, registration, ticketing, communication, and reporting. By publishing to Splash, you ensure that your event will:

• Appear in the university’s event calendar, events.newschool.edu, one of the most frequently visited webpages on the newschool.edu site
• Look visually appealing and on brand yet customized to your event, thanks to the system’s pre-designed templates and flexible interface
• Be SEO optimized for Web searches, making it easier for potential event attendees and students to find you
• Appear on department websites and other webpages under an “Events” header, if the pages have been set up for that content. (For questions about this, consult your project manager. See also the section Publish Splash Events to a Department Website, below.)
• Be easily shareable through email newsletters and on social media
• Have the potential to be featured in M&C initiatives, stories, and campaigns, as Splash is the primary system of reference for public events happening at the university

In addition to providing these promotional tools, Splash allows event organizers to more effectively manage planning, track registrations and tickets, send email reminders and post-event communications, and analyze attendee engagement.

Each college, department, and institute manages its own mailing list. Here are a few ways to build your lists:

• Add contact information from attendees of past events who have checked the opt-in box on the event registration form.
• Add Subscribe buttons or links on your website to allow users to subscribe to your email newsletters and other publications. Event attendees can sign up for some of these publications by using this email sign-up form on the event calendar. If your mailing list does not appear on this page, please contact your Marketing and Communication project manager.

Creating Newsletter Content from Events Already Published in Splash

To help you more easily create email newsletters, M&C has created the Newsletter Content Generator, which generates HTML code for Splash events that can be added to your email marketing platforms (see an example of the way it displays in the Public Programs Newsletter). Promoting an Event in the Public Programs Newsletter to External Audiences

The Public Programs team sends out a monthly newsletter (except in January and the summer months) to an external list of approximately 30,000 individuals. In order for your event to be considered for inclusion, it must be in Splash at least five business days before the end of the month preceding the month in which the event is scheduled. A version of the monthly Public Programs Newsletter is sent to the internal community at the same time; it sometimes includes events that are open only to the internal community.

Displaying My Event on Lobby Monitors and Digital Easels

Lobby monitors and digital easels on campus are an important way to share your event details with the university community. To display your event to lobby monitors, your event must first be in Splash. Add the "LOBBYMONITOR" tag to your Settings page, and hit Enter. Additional Splash tags can be found here. 

Listing a Student-Focused Event on NarwhalNation

NarwhalNation, developed and maintained by the Office of Student Leadership and Involvement (SLI), is a place for students to find out about upcoming events, clubs and organizations, club sports, intramural sports, recreation classes, and more. Contact SLI to learn how to set up your department or college as an organization in NarwhalNation in order to post events. Note that NarwhalNation and Splash are not linked, so events must be cross-posted where necessary.

Inclusiveness is one of the core values of The New School. For events, inclusiveness means considering how an event’s content, format, location, or associated materials might create barriers and affect guests’ ability to attend and engage fully. The Office of Student Disability Services provides support to students seeking additional accommodations at university events. The office has also created a Guide to Planning an Accessible Event.

An important part of organizing any public program or series is evaluating how the event or events went and determining whether you met your goals. Splash allows for robust reporting at the level of the individual event, the department, the college, and the university. Key data points and metrics such as registration, loyalty, email open rates, and demographic and affiliation information (and much more) can be found in the Reporting tab in your Splash account.
